Terms and Conditions

These Terms and Conditions (“Terms”) govern your use of the MyTroop service at mytroop.org and its troop subdomains (the “Service”). The Service is operated by Derbytronics LLC, a single-member limited liability company (“MyTroop,” “we,” “us”). By creating an account or otherwise using the Service, you agree to these Terms.

1. Eligibility

You must be at least 18 years old and a parent, guardian, or adult leader of a Scouting America troop to create an account. The Service is intended for use by troops, their adult members, and the families of scouts.

2. Your account

You are responsible for the accuracy of the information you enter, for safeguarding your password, and for all activity under your account. Notify us promptly if you suspect unauthorized access.

3. Acceptable use

You agree not to:

  • use the Service to send unlawful, harassing, deceptive, or abusive content;
  • upload content you do not have the right to share, or that infringes another person’s rights;
  • attempt to disrupt, reverse-engineer, or gain unauthorized access to the Service;
  • use the Service to send unsolicited bulk messages outside the troop context for which it is intended.

4. SMS notifications program

The following terms apply to text-message notifications sent through the Service.

  • Program name: MyTroop Troop Notifications.
  • Description: Transactional notifications from your troop — including event reminders, RSVP requests, schedule changes, and urgent announcements — sent by your troop’s leaders through the Service.
  • Message frequency: Recurring messages; frequency varies by troop activity. You should expect roughly one to four messages per week on average, with higher volume around active events or trips.
  • Message and data rates: Message and data rates may apply. Messages are sent on standard carrier rates; MyTroop does not charge a per-message fee.
  • Opt out: Reply STOP to any message at any time to immediately stop all SMS notifications from MyTroop. You can also remove your phone number from your profile, or contact us at the address below, to opt out.
  • Help: Reply HELP to any message for instructions, or contact us at support@mytroop.org.
  • Carriers: Carriers are not liable for delayed or undelivered messages.
  • Consent: By providing your mobile number and agreeing to receive SMS, you consent to receive recurring transactional text messages from MyTroop at the number provided. Consent is not a condition of any purchase.

5. Payments

If your troop collects payments through the Service, those payments are processed by Stripe under Stripe’s own terms. Per-troop billing arrangements (for example, subscription or usage fees, if any) are described separately at the time of enrollment.

6. Your content

You retain ownership of the content you upload (photos, posts, family details, etc.). You grant MyTroop a non-exclusive, royalty-free license to host, store, transmit, and display that content for the purpose of operating the Service for your troop.

7. Service providers

The Service relies on third-party providers, including Google (Firebase), Amazon Web Services (SES), Twilio, and Stripe, each subject to its own terms. Their availability and performance are outside our control.

8. Disclaimer of warranties

The Service is provided “AS IS” and “AS AVAILABLE,” without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or secure.

9. Limitation of liability

To the fullest extent permitted by law, Derbytronics LLC and its members will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of data, revenue, or goodwill, arising out of or in connection with the Service. Our total liability for any claim arising out of or relating to the Service will not exceed the greater of (a) the amounts you paid us for the Service in the twelve months before the claim or (b) one hundred U.S. dollars.

10. Indemnification

You agree to indemnify and hold Derbytronics LLC harmless from any claims, damages, and expenses arising out of your use of the Service, your content, or your violation of these Terms.

11. Termination

You may stop using the Service at any time. We may suspend or terminate your access if you violate these Terms or if necessary to protect the Service or other users.

12. Changes to these Terms

We may update these Terms from time to time. The “Last updated” date at the top reflects the most recent revision. Continued use of the Service after a change constitutes acceptance of the revised Terms.

13. Governing law

These Terms are governed by the laws of the United States and the State of Illinois, without regard to conflict-of-laws principles. Any dispute will be resolved in the state or federal courts located in Illinois.
