Privacy Policy

MyTroop (“MyTroop,” “we,” “us”) is a software service operated by Derbytronics LLC, a single-member limited liability company. This Privacy Policy explains what information we collect through mytroop.org and its troop subdomains (collectively, the “Service”), how we use it, and the choices you have.

1. Who this policy applies to

MyTroop is used by Scouting America troops and their families. Accounts are held by adults — parents, guardians, and troop leaders. Scouts (children) are listed as family members within their parent’s account and do not hold accounts of their own. All communication generated by the Service is directed to adults.

2. Information we collect

We collect only what we need to operate the Service:

  • Account information. Name, email address, password (stored hashed by Firebase Authentication), and optional phone number.
  • Family and scout details. Family name, scouts’ first names and birth years, dens or patrols, vehicle information for transportation coordination, and similar troop-management data you choose to enter.
  • Event and RSVP data. Event responses, attendance, driver signups, and messages you send through the Service.
  • Payment information. If your troop collects fees through Stripe, payment details are handled directly by Stripe; MyTroop never receives or stores card numbers.
  • Photos and uploads. Photos and files you choose to upload to your troop site.
  • Operational data. Server logs, IP addresses, and timestamps used to keep the Service running, debug problems, and prevent abuse.

3. How we use information

We use the information above to:

  • provide the Service to your troop — events, RSVPs, rosters, photos, and so on;
  • send you transactional and operational notifications by email or SMS that you have requested or that are essential to your use of the Service;
  • operate, secure, and improve the Service;
  • comply with legal obligations.

We do not sell your information. We do not share your information with third parties for their marketing purposes.

4. SMS notifications

Phone numbers are optional and are only collected when you (or a troop leader, on your behalf) enter one in your profile. By providing your phone number and agreeing to the SMS consent prompt, you authorize MyTroop to send you SMS notifications about your troop — for example, event reminders, RSVP requests, and urgent announcements.

Message frequency varies. You can opt out at any time by replying STOP to any message, by removing your phone number in your profile, or by contacting us at the address below. Replying HELP returns instructions for getting assistance. Standard message and data rates from your mobile carrier may apply. We do not share phone numbers with third parties for marketing.

5. Service providers

We rely on the following service providers to operate MyTroop. Each receives only the information needed to perform its function and is contractually bound to protect it:

  • Google / Firebase — authentication, database, file storage, and application hosting (Google LLC).
  • Amazon Web Services (SES) — outbound and inbound email delivery.
  • Twilio — outbound SMS delivery and STOP/HELP keyword processing.
  • Stripe — payment processing, when your troop chooses to collect payments.

6. Data retention

We retain account, family, and event data for as long as your troop is active on the Service. If you delete your account, or your troop leaves the platform, we delete or anonymize personal data within a reasonable period, except where we must retain records to comply with law (for example, financial records related to payments).

7. Your choices and rights

You can:

  • view and edit your account information at any time in your profile;
  • opt out of SMS by replying STOP, removing your phone number, or contacting us;
  • opt out of email digests in your profile settings;
  • request a copy of the personal information we hold about you, or request its deletion, by emailing us at the address below.

8. Children’s data

MyTroop does not provide accounts to children and does not knowingly collect personal information directly from children under 13. Information about scouts is entered by their parents or guardians and is used only to operate the Service for the troop.

9. Security

We use industry-standard safeguards — including TLS in transit, encryption at rest for files and secrets, role-based access controls, and tenant isolation between troops — to protect your information. No system is perfectly secure, however, and we cannot guarantee absolute security.

10. Cookies

We use cookies and similar local storage to keep you signed in and to remember basic preferences. We do not use third-party advertising or marketing trackers.

11. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes will be communicated through the Service.
